Purpose
The purpose of this policy is to promote a secure, productive, and compliant work environment by clarifying the types of monitoring that may occur in university workplaces, the scope of such activities, and the responsibilities of employees and management.
Scope
This policy applies to all faculty, staff, contractors, and any other individuals who access university systems, networks, or facilities.
Overview of Monitoring Practices
- University IT systems, including computers, network services, email, and internet access, may be monitored for security, compliance, and maintenance purposes.
- Physical security measures, such as video surveillance in public or sensitive areas, may be utilized to protect university property and personnel.
- All monitoring activities will comply with applicable laws and university policies to protect individual privacy rights.
Types of Monitoring
- Network Monitoring: University may review network traffic, system logs, and usage data to detect threats, troubleshoot issues, and enforce policy compliance.
- Email and Communication Monitoring: Electronic communications sent or received using university resources may be accessed or audited when necessary for legal, regulatory, or operational reasons.
- Physical Security Monitoring: Use of cameras and other security technologies will be limited to locations where there is no reasonable expectation of personal privacy.
Access and Confidentiality
- Only authorized personnel may access monitoring data.
- All data obtained through monitoring will be kept confidential and used solely for legitimate business or security purposes.
Policy Violations
Unauthorized attempts to interfere with monitoring systems or misuse of monitoring data may result in disciplinary action, up to and including termination of employment, and legal consequences where applicable.
