OneDrive is Bellarmine’s link to Microsoft’s cloud storage system that provides one terabyte (1TB) of storage space to each student. OneDrive allows you to access your files anywhere you can access the Internet, via a computer or mobile device. You can use Drive to access online versions of Microsoft Office applications to create, edit, and view your documents. Drive also allows you to easily share individual files and folders with individuals of your choosing. We are able to provide this service as part of our campus licensing agreement with Microsoft.

Drive provides you with a host of productivity tools and services.  You now have the following:

  • Terabyte of cloud-based storage for your electronic files, please refer to the fine print below for details on what can be stored

  • Access to your data anywhere you have Internet connectivity and a browser, no VPN is required

  • The ability to share selected files with your Bellarmine colleagues as well as people outside of the university

  • Access to the web-based versions of Microsoft Office applications, allowing you to work with your documents online

  • Licensing to download and install Microsoft Office on up to five of your personal computers and/or mobile devices

You can access this service through Bellarmine Experience (https://experience.bellarmine.edu); alternatively you can access the service directly by going to https://drive.bellarmine.edu from any browser on or off campus.

The OneDrive desktop application can be setup on your computer to automatically back up your Desktop, Documents, and/or Pictures from your computer to the Microsoft cloud.  More information about this can be found in the knowledge base article Back up your Documents, Pictures, and Desktop folders with OneDrive

The Fine Print:

  • All our acceptable use and information security policies still apply. These can be found in the Faculty/Staff and Student Handbooks.

  • This is a cloud storage solution which means that your files are not stored on campus. All data placed on Drive will be primarily housed in a Microsoft data center and is accessed via the Internet whether you are on or off campus. This does not imply that your files are not safe and secure, but you need to be aware. It is also YOUR responsibility that you upload and download information from Drive is a secure manner. This is critical when accessing this service from outside the Bellarmine network.

  • All data stored on Bellarmine University owned and provided systems and services is considered to be owned by Bellarmine University. However, the security of the information on Drive is your responsibility. Extreme care must be taken when sharing data through this service so that your data is not shared with unintended people or groups. The IT department assumes no liability for data on Drive.

  • Be advised that it is possible for Bellarmine to audit and manage all of its storage services. Abuses of these systems or putting sensitive data at risk could be brought up to the attention of the Vice Provost for IT, your supervisor and/or Human Resources.

  • Drive is now the only supported Cloud storage solution on campus. We no longer support other cloud-based storage services like Box, Dropbox, Google Drive, etc. With Drive we now have the ability to apply enterprise class management to a cloud storage solution and will focus our efforts on expertly providing one such service to the Bellarmine community.

  • Currently the maximum file size that can be is 2 GB.

  • The following characters are problematic and cannot be used in the name of a file, these are ~ " # % & * : < > ? / \ { | }

  • Student accounts will be marked as "alumni" within six months of your last date of attendance. When this process occurs Drive accounts will be deleted and the data lost; however, this will not impact your @bellarmine.edu email account as you are permitted to use that account provided you stay within Bellarmine's acceptable use guidelines.

  • Upon separation or specific direction from Bellarmine's HR department, access to faculty and staff Drive accounts will be suspended. Data will be held for a brief period, but will be deleted. Post separation access to that data may be granted at the discretion of HR and/or your former supervisor.

  • We do not condone setting up the automated syncing between your Drive account and a personal (non-Bellarmine) computer. Please note that if you do setup such a sync it may give some Bellarmine administration systems access to your personal computer and we would prefer to not have that access.
