Any current student that is active in an academic program at Bellarmine University is provided access to a Microsoft 365 account. This allows the student to not only access their Bellarmine email, but also to utilize OneDrive and software packages such as Word, Excel, and PowerPoint.
Once a student has been flagged by the Registrar as no longer active within an academic program, such as when graduating or withdrawing from Bellarmine, a process will be initiated to convert the student's account from a Student license to an Alumni license. This conversion take place 3 months after the change is made to the student's record. Once initiated, your Bellarmine email will receive messages at a set cadence stating on which day your account license will change. If you re-enroll before the process completes, the delicensing process will be terminated, and your account will remain licensed as a Student.
As an Alumni, your access to the One Portal, Self-Service, and Outlook email will not be affected by this licensing change, although content in One Portal and Self-Service may change based on your new role. However, you will no longer be able to access many services offered by Microsoft, including but not limited to: Microsoft Office 365 Applications (Word, Excel, etc.) OneDrive, Teams, and OneNote.
All documents or files in your OneDrive will no longer be available to you after the license conversion date and will be deleted by Microsoft (not Bellarmine) sometime after. If you wish to keep your files, we recommend the Microsoft OneDrive client to sync them to your computer. If you do not have many files, you may be able to download them individuals from https://drive.bellarmine.edu/.
The ability to use the Bellarmine provided Microsoft Office desktop apps (Word, Excel, PowerPoint, etc.) will cease after the migration date. You can purchase a Microsoft 365 subscription using a personal Microsoft account if you still need to use desktop apps.
